Website Privacy Policy
Last updated: 16 October 2026
This policy explains how ISRAAC Somali Community Association uses personal information collected through this website. Israac is the data controller for that information. We are a registered charity, number 1170028, at Vestry Hall, 54 Cemetery Road, Sheffield, S11 8FP.
If an activity or service needs additional personal information, we will explain that separately. This notice does not mean that every visitor must provide the information described below.
The information we collect
- Contact form messages: your name, email address, optional phone number and the message you choose to send.
- Room-hire enquiries: contact and organisation details, requested rooms and dates, facilities and access requirements, and parking or vehicle details where you supply them.
- Messages and requests you send directly by email, including requests for community updates.
- Technical information used to provide and protect the website, such as IP addresses, browser details and server access logs.
- Language and accessibility preferences saved in your browser, as explained in our Use of cookies policy.
Please only provide information relevant to your enquiry. Do not include confidential medical, financial or other sensitive documents in a general website message.
How we use your information
We use information to respond to enquiries, manage room-hire requests and bookings, provide the service you request, maintain relevant correspondence and keep the website secure. Contact form messages are sent to Israac’s email inbox. Room-hire enquiries are stored in the website’s booking system for authorised staff to manage.
We use the contact details you provide to reply by the appropriate method. An enquiry is not an automatic subscription to marketing or community updates. Requests for updates are handled separately, and you can ask us to stop sending them.
Our reasons for using personal information
Depending on your request, we may use information to take steps towards or manage a booking, to meet a legal obligation, or for our legitimate interests in responding to enquiries, providing community services and protecting the website. Where we rely on your consent, you can withdraw it by contacting us. We will explain any additional basis needed if a service requires sensitive personal information.
Cookies and similar technologies
The website uses session cookies for functionality and security and can remember language and accessibility preferences in your browser. See Use of cookies for details and how to manage them.
Third-party and embedded content
When you choose to play a YouTube video, your browser connects to Google/YouTube, which may receive information about your device and viewing activity. The video service uses its own privacy policy. Following links to maps, social media or other organisations also takes you to services with their own privacy practices.
Video thumbnails and website images are served from this website where available. We have not added an advertising or analytics tracker. Read Google’s Privacy Policy before using embedded YouTube content if you want to understand how Google handles information.
How we store and share information
Information is handled through our website, hosting and email services. Access is limited to people who need it to respond to your request or run the relevant service. Service providers may process information on our behalf to provide those systems.
We do not sell personal information. We do not pass contact form messages to other organisations for their marketing. Information may be shared where you ask us to, where needed to provide a requested service, to meet a legal obligation, or where necessary for safeguarding or protecting someone’s welfare.
How long we keep information
We keep information only for as long as reasonably needed for the purpose for which it was collected. This depends on the enquiry or booking, any continuing correspondence, and relevant legal, accounting, safeguarding or complaint-handling requirements. Information that is no longer needed should be securely deleted or disposed of.
Your rights
Depending on the circumstances, you may ask to see your personal information, correct inaccurate information, have information deleted, restrict or object to its use, receive certain information in a portable format, or withdraw consent where we rely on it. Not every right applies in every situation. We may need to confirm your identity before providing personal information.
Questions or complaints
Please contact Israac first if you have a question or concern about your information. You can also contact the Information Commissioner’s Office, the UK data protection regulator.
